Airport and port pickup without the guesswork

A smooth arrival depends on an exact meeting point, a delay plan and enough time to inspect the vehicle.

Name the arrival, not just the island

Send a flight number or vessel name, arrival date and scheduled time. Include the actual airport or port and the number of passengers. A message saying “we arrive in Santorini” does not tell an operator whether you will be at the airport or Athinios. On Amorgos, the port named on the ferry ticket is equally important.

Say whether you want to drive away from the arrival point or are happy to transfer to an office. Terminal collection, a nearby meeting, a shuttle and office pickup are different arrangements. Ask which one your quote includes.

Get a meeting point you can recognise

Ask for a named landmark, office address or location pin, plus a contact number. At a ferry port, confirm whether the meeting is outside the vehicle stream and where you should wait with luggage. At an airport, ask whether a representative will meet you and how to recognise the business.

Keep the instructions and telephone number available before travel. Share them with the other adults in your group so one person can look after luggage while another contacts the operator if the meeting point is unclear.

Agree what happens when the arrival changes

Ask whether the operator tracks the arrival, how long it waits, and what to do if your flight or ferry changes. Confirm any charge or altered procedure for a late or out-of-hours collection. A promise of island-wide service is not a substitute for these details.

If your phone will not have a reliable connection on arrival, decide how to contact the operator and keep the office address offline. Let the business know promptly when the vessel, port or arrival day changes rather than relying on the original booking note.

Leave time for a proper handover

Collection includes checking the vehicle, documenting existing marks, confirming fuel and learning any unfamiliar controls. Make time for that before the first drive. Ask the representative to show you the agreed return procedure and the number to use if something goes wrong.

For a family, check that the requested child seats are present and that the luggage actually fits before the handover ends. If the model differs from the example you expected, resolve transmission, seating and group suitability with the operator while you are together.

Plan the return with the same precision

Confirm the return address, parking instructions, inspection arrangement and key procedure. If the return differs from collection, ask whether a fee applies and whether someone will meet you. A port return should refer to the port used by your departure, not simply the island name.

Allow time for fuelling according to the contract, reaching the meeting point, the inspection and the next departure procedure. Keep the agreed arrangement in writing. The last hour of the rental should be a clear sequence rather than a search for where to leave the car.
